HEMAG rules

Rules of good manners

We remind you that the staff of De Taille et d’Estoc is made entirely of volunteers, and despite our best efforts to satisfy you, our resources and skills may be limited (knowledge of tournament rules, mastery of foreign languages, art of coffee, etc.). Please remain courteous in the event of a disagreement, or if we are unable to respond to any of your requests.

Hygiene and cleanliness
The on-site toilets are regularly cleaned by the De Taille d’Estoc staff. We do, however, ask you to use common sense: don’t throw away whole rolls of toilet paper or menstrual pads .

De Taille d’Estoc staff will do their utmost to sort out waste during the event. Please do not throw glass in the black garbage cans. Dedicated bins for glass will be placed in the Multiplex lounge. Please dispose of your garbage in the garbage cans provided!

Tolerance
The people you meet don’t necessarily have the same level, the same knowledge or the same approach to HEMA you do, so adapt your practice and exchange courteously.

Courtesy
The hotels, bars and restaurants that work with us expect you to respect their equipment and other customers. We thank you in advance for your courtesy.

Safe Team

Respect for all is everyone’s business. A Safe point will be located at reception. Staff members wearing an armband with the SAFE logo (below) will be present throughout the event, and during the evenings. You can go and see them or contact them if you need to .

First aid

We remind you that a first-aid post is at your disposal. It will be located near the reception of the Multiplex hall. Do not hesitate to go there in case of injury. Our carers will be on hand in each hall to direct you to the pharmacy if necessary .

Please note that the Association De Taille et d’Estoc cannot be held responsible for any injuries you may sustain during the event. Our carers are all volunteers with at least their first-aid certificate (PSC1). Should this not be convenient for you, we remind you that the hospital and emergency services are just a few tram/bus stops away.

Refund policy

If you need to cancel your registration, please do so as soon as possible. Many costs are incurred with our partners prior to the event. So, if you have registered with the hotel and Saturday evening meal options, we will not be able to refund your full registration fee.

In addition, any cancellation with a refund request, regardless of your options, received after May 1st will not be fully refunded. A flat-rate fee will be deducted from your registration fee.

RIGHT OF PERSONAL PORTRAYAL

We remind you that by purchasing a Pass for the HEMAG Dijon, you give your consent for photos and video recordings of you to be taken by the organizer, or by third parties commissioned by the organizer, for the duration of the event.

You acknowledge that this consent is provided free of charge. In addition, you agree that the recordings may be used for documentation, reporting, follow-up, future training and publicity purposes in the written press, as well as in HEMAG Dijon’s social and electronic media.

You may, of course, revoke your consent at any time by sending a corresponding message to hemacdijon.inscription@gmail.com.

Environment and ecology

For several years now, the association has been trying to reduce its environmental impact. For this reason, we no longer provide disposable cups at the event. You will be provided with an ecocup in your Welcome Pack. In the event of loss, others will be available in exchange for a 1-euro deposit at reception.

Drinks and food

We remind you that it is forbidden to bring or consume food in the halls. You can eat in the Multiplex rest area.

Water will be accepted in the rooms where workshops are held. Remember to use a reusable bottle..

In the event of an accident, please inform reception as soon as possible, so that we can clean up the area..

Storing your stuff

For reasons of safety and good circulation, we ask you not to leave your belongings near the workshop, sparring and conference areas. Numerous changing rooms will be available throughout the site. However, it will be possible to leave your belongings in the Halle des Sports Collectifs or the sports hall (formerly athletics hall).

We also recommend that you do not bring valuable belongings onto the site during the day. Despite our best efforts, the De Taille et d’Estoc staff are unable to monitor any thefts. In the event of loss, we remind you that a box near the reception desk will contain any belongings found. Don’t hesitate to come and have a look.

Shoe

We remind you that walking shoes and street shoes are not allowed in the rooms. We recommend that you bring two pairs of shoes for the whole event, one for outdoor workshops and one for indoor workshops.

The event rooms have strict rules regarding footwear. We therefore ask you to wear wrestling or boxing slippers, or even bare feet on the tatamis (Salle de Combat), and to bring clean shoes that won’t leave marks in the Team Hall Sports and the Sport Hall (formerly the athletics hall).

Alcohol, tobacco and other substances

We remind you that smoking and vaping are strictly forbidden in the rooms. The consumption of alcohol and other substances is strictly prohibited during the event

The only exception to alcohol consumption on the event site will be during the Thursday evening and Friday evening drinks .

Anyone caught under the influence of any substance (alcohol, drugs) will be banned from the workshop and liable to expulsion from HEMAG without reimbursement. Please understand that your safety and that of others is at stake .

Be careful

We urge you to exercise extreme caution when moving around with your simulators. Remember to point the tip of your simulator at the ground, and not to make any large gestures.

Behavior

Any behavior we deem inappropriate or dangerous (in a workshop, outdoors, in tournaments, etc.) may result in your exclusion from the event, without refund.

Punctuality and respect

We are aware that HEMAG is a dense event in terms of content. This year, we’ll be offering you longer rest periods between workshops. We ask you to be on time. However, should you arrive late for a conference or workshop, we ask you to be discreet and not to disrupt the proceedings.

The De Taille et d’Estoc staff will do their utmost to ensure that permanent catering is ready when the rooms open. Please respect this time and do not enter the rooms before. Rooms will also close at 8pm. Please ensure that you have collected all your belongings before this time.

Information

The De Taille et d’Estoc staff will provide you with up-to-the-minute information via digital networks (HEMAC Dijon, e-mail) and its website. We’ll also be updating our event posters as frequently as possible. Don’t forget to check these points for the latest information.
